Playbook: F&B Operations, Food Costing & Shift Scheduling
Project template walkthrough
This page walks through the built-in F&B Operations, Food Costing & Shift Scheduling project template (fnb-hospitality) — choose it under New Project. File names, figures and run times are an illustrative example, not a benchmark; your results depend on your files and the model you select.
Domain: F&B, Restaurants & Hospitality Management
Target Roles: Restaurant Chain Owner, F&B General Manager, Head Chef, Operations Director
Example run time: 14 Minutes
1. The F&B Challenge
Restaurant and bistro chain operators run on razor-thin net margins (8–15%):
- Wholesale food ingredient prices fluctuate weekly (meat, dairy, produce, cooking oil), eroding menu item margins unnoticed until end-of-month accounting.
- Over-scheduling kitchen and service staff during mid-week lull hours inflates labor cost percentages beyond the 30% revenue threshold.
- Manual menu re-costing and shift balancing across 3 locations requires days of tedious arithmetic.
2. Step-by-Step Walkthrough: 3-Location Italian Bistro Food Cost & Shift Optimization
Step 1: Ingest F&B Operational Files into Sources
Toast_POS_Hourly_Sales_Aug2026.xlsx: 3-location hourly item sales data (12,400 covers across pizza, pasta, prime steaks, wine, cocktails).Sysco_and_USFoods_Invoices_Aug2026.pdf: Monthly wholesale purchasing invoices from regional meat, cheese, and produce distributors.Recipe_Costing_Master_Book.xlsx: Detailed ingredient yields and gram weights for all 45 menu items.Staff_Roster_and_Hourly_Wages.xlsx: Weekly shift rosters and hourly wage rates across front-of-house (FOH) and back-of-house (BOH).
Step 2: Run the F&B Operations Prompt
Perform an operational audit across our 3 bistro locations:
1. Menu Engineering & Recipe Yield Audit:
- Match updated supplier purchase prices in `Supplier_Invoices_Aug2026.pdf` against `Recipe_Costing_Master_Book.xlsx`.
- Identify menu items whose Food Cost Percentage has surged past the 32% target ceiling.
- Propose recipe yield adjustments or retail price updates to restore target gross margins.
2. Hourly Labor Shift Optimization:
- Cross-analyze hourly POS covers against `Staff_Roster_and_Hourly_Wages.xlsx`.
- Identify overstaffed idle hours (where labor cost exceeds 38% of hourly revenue) and understaffed peak service bottlenecks.
- Generate an optimized schedule trimming labor cost to under 28% of total revenue.
3. Export Deliverables:
- `reports/Menu_Engineering_Matrix.pdf`
- `reports/Labor_Shift_Schedule.xlsx`Step 3: What AMBA Executes Autonomously
- Food Cost Inflation Discovery:
- Catches wholesale Mozzarella di Bufala price increase (+18%) and imported beef tenderloin increase (+12%).
- Identifies that the flagship Truffle Beef Tenderloin food cost jumped from 29% to 38.4%, losing $4.10 gross profit per plate.
- Models two solutions: (a) Increasing menu price from $28.00 to $31.00, or (b) Adjusting side plating portions from 220g to 200g, restoring the food cost to 30.5%.
- Labor Shift Balancing:
- Identifies that Tuesday–Thursday between 2:00 PM and 5:00 PM averaged only 4 covers/hour, yet maintained 5 FOH staff clocked in at $14/hour.
- Trims 85 idle shift hours per month across 3 locations, saving $4,800/month in wasted labor overhead without affecting peak weekend service speed.
The ratio your brief defines comes first
If your brief defines a labour cost ratio (for example total wages ÷ total revenue for the whole company over the period), AMBA computes exactly that ratio, stores it in the workbook and reports it as the headline figure; per-store ratios follow as a breakdown. The run is not finished until that figure is reported with its workbook cell. Targets and thresholds come only from your brief — AMBA does not add industry benchmark ranges of its own.
Step 4: Deliverables in reports/
- 📄
reports/Menu_Engineering_Matrix.pdf: Visual Boston Consulting Group (BCG) matrix classifying menu items into Stars, Plowhorses, Puzzles, and Dogs with action recommendations. - 📊
reports/Labor_Shift_Schedule.xlsx: Optimized multi-branch shift roster balanced dynamically against hourly cover volume.
Total Time: 14 minutes. Saves $4,800/month in labor and restores target menu margins.
