Playbook: Logistics, Ocean Freight Tender & US Customs Pre-Audit

Project template walkthrough

This page walks through the built-in Logistics, Freight Tender & Customs Audit project template (logistics-supply-chain) — choose it under New Project. File names, figures and run times are an illustrative example, not a benchmark; your results depend on your files and the model you select.

Domain: Logistics, Freight Forwarding & Global Supply Chain
Target Roles: Supply Chain Director, Import-Export Manager, VP of Operations
Example run time: 15 Minutes

1. The Logistics Challenge

Importers and brand operators face non-standardized freight forwarding fee structures and strict customs compliance risks:

  • Shipping lines quote varying surcharge acronyms (BAF, CAF, Destination THC, Port Congestion Surcharges, free demurrage & detention days). Comparing 4 forwarder quotes manually often leads to hidden fee surprises.
  • Customs document mismatches between Commercial Invoices, Packing Lists, and Bills of Lading (B/L)—such as a single-digit typo in an HTSUS code or gross weight delta—trigger US Customs & Border Protection (CBP) holds, Intensive VACIS exams, and container port demurrage fees ($250–$400/day/container) at major terminals like Los Angeles / Long Beach or New York / New Jersey.

2. Step-by-Step Walkthrough: Ocean Freight Tender & Pre-Filing Customs Audit

Step 1: Ingest Logistics Files into Sources

  • Carrier_Quote_Maersk.pdf, Carrier_Quote_MSC.pdf, Carrier_Quote_CMA_CGM.xlsx, Forwarder_KuehneNagel.pdf: 4 competing ocean freight proposals for 10x 40ft HQ containers from Shanghai to the Port of Los Angeles.
  • Draft_Commercial_Invoice_INV9821.xlsx: 10 container line items with product descriptions, quantities, unit prices, and HTSUS tariff codes.
  • Draft_Packing_List_PL9821.pdf: Box dimensions, net weights, gross weights, and pallet counts.

Step 2: Run the Logistics Audit Prompt

markdown
Execute a dual-track logistics and customs analysis:

1. Ocean Freight Tender Evaluation:
   - Normalize quotes across all 4 carriers. Consolidate ocean base freight, terminal handling charges (THC), bunker adjustment factor (BAF), and clean truck fees.
   - Model the economic value of free demurrage & detention days (e.g. Carrier A offers 5 days vs Carrier B offers 14 days).
   - Recommend the lowest true landed shipping cost accounting for port congestion risk.
2. Customs Pre-Filing Integrity Audit (CBP ACE & ISF 10+2):
   - Cross-check `Draft_Commercial_Invoice_INV9821.xlsx` against `Draft_Packing_List_PL9821.pdf`.
   - Audit 10-digit HTSUS code classifications against official US International Trade Commission (USITC) tariff schedules.
   - Verify total gross weight, cubic meters (CBM), and item quantities across all documents.
3. Export Deliverables:
   - `reports/Carrier_Tender_Evaluation.xlsx`
   - `reports/Customs_Audit_Report.pdf`

Step 3: What AMBA Executes Autonomously

  1. Quote Normalization:
    • Carrier A looks cheapest on base freight ($2,100/FEU), but only offers 5 days free demurrage and charges $350/FEU destination THC.
    • Carrier B quotes $2,250/FEU base freight, but includes 14 days free demurrage and $180/FEU THC.
    • Models container dwell risk: For a 10-container shipment with anticipated 4-day LA terminal congestion, Carrier B saves $4,200 in net demurrage penalties.
  2. Customs Pre-Filing Discrepancy Discovery:
    • Weight Mismatch: Discovers total Gross Weight on Packing List is 42,450 kg, while Commercial Invoice recorded 42,200 kg (a 250 kg delta that triggers CBP red-lane VACIS physical inspection).
    • HTSUS Code Discrepancy: Catches Item 4 listed under 9403.60 (Other wooden furniture) on the invoice, but listed as 9403.50 (Wooden bedroom furniture) on the packing list.

Step 4: Deliverables in reports/

  • 📊 reports/Carrier_Tender_Evaluation.xlsx: Multi-carrier comparison matrix with total landed cost breakdown and free-time risk modeling.
  • 📄 reports/Customs_Audit_Report.pdf: Discrepancy report detailing line-by-line errors with corrected draft tables ready for freight forwarders and customs brokers.

Total Time: 15 minutes. Saves $4,200 in demurrage costs and prevents container terminal detention.
